Notices, minutes, demand letters: 15 templates that handle the writing for you
An average Quebec syndicate writes the same eight to ten documents every year. Here's how a library of 15 pre-filled bilingual templates collapses that workload to a few clicks
How many hours does your syndicate spend writing the same documents every year?
AGM notice. Minutes. Special assessment notice. Demand letter for unpaid fees. Self-insurance fund report. Welcome letter for a new co-owner.
For an average Quebec syndicate, that's eight to twelve documents to produce each year — most of them starting from an old Word file, a PDF scanned by the previous manager, or worse, from scratch.
The problem isn't the writing — it's the re-typing#
Every document re-types information the syndicate already keeps somewhere else: legal name, address, cadastral fraction numbers, contingency fund balances, next meeting date, current directors, share fractions for each unit.
That re-typing is slow, error-prone (a misspelled name, an outdated address, a fund balance that's a fiscal year old), and easily adds up to dozens of hours a year — especially when a new manager takes over a file and rebuilds every template from scratch.
Our approach: 15 templates pre-filled with your data#
Syndic+ ships a 15-template bilingual library (French and English) covering the most common documents:
-
AGM notice, with an editable agenda
-
Meeting minutes — AGM, special meeting, and board templates
-
Annual and special assessment notices
-
Demand letter for unpaid fees
-
Annual self-insurance fund report (Bill 141)
-
Syndicate certificate (delivered at sale)
-
Welcome letter for a new co-owner
-
By-law violation notice
-
Proxy form for meetings
-
...and a few more. Every template is auto-populated with:
-
Syndicate name, address, syndicate number — pulled from the registry.
-
Share fractions and cadastral numbers — synced with your declaration of co-ownership.
-
Contingency and self-insurance fund balances — wired into the finance module, current to the second.
-
Today's date, next meeting, current fiscal year — resolved at generation time.
-
Directors and their role — automatic, from the board module.
One click. PDF or Word.#
Pick the template. Adjust the optional sections if you need to (a custom agenda, a targeted reminder, a specific assessment amount). Click Generate.
Output is ready immediately in:
- PDF, signed and ready to send to co-owners.
- Word (.docx) if you want to polish further before sharing. No mail-merge to configure. No "Find and replace" across six addresses. No Word freezing on the twelfth pasted image. No nasty surprise when the fund balance shifts between writing and sending.
Several templates are free on the Free plan — no paid subscription required to generate an AGM notice or an overdue-fee reminder. You can test the library without spending a cent.
Why bilingual by default?#
Quebec isn't monolingual. Many syndicates include anglophone co-owners or have official documentation in both languages. Every template exists in French and English — pick the language at generation time, or produce both versions side by side and distribute them in parallel, as the declaration of co-ownership requires.
